In this session, we will explore the comprehensive process of developing and implementing a university-wide AI policy. This policy is essential for streamlining operations and anticipating future innovations and disruptions. It goes beyond formalizing procedures; it educates on AI capabilities and limitations, centers tools around legal compliance and ethical considerations, and adapts to future technologies. Participants will learn how to: Survey the landscape: Understand the current state and future aspirations of AI usage within their institution by engaging with various stakeholders, including students, academic innovators, research units, IT, legal, and ethics departments. This step is crucial for building analogues to larger, external efforts and mapping to similar problems with peers and other industries. Build a dream team coalition: Form a coalition of stakeholders from various departments to drive the AI policy. This group will grow organically based on needs and leadership, ensuring a comprehensive approach. Define success: Establish success criteria for the AI policy that align with the institution's strategic goals and reflect its unique culture and voice. This involves ideating what a successful implementation looks like for the institution, considering different perspectives and use-cases. Guide internal innovation and usage: Ensure safe, ethical, and effective integration of AI technologies across the institution. The policy will direct resources, identify key contacts for emergent needs, and partner with the larger institutional culture to define appropriate AI usage.
